We hold ourselves to the highest standards, adhering to core values of respect, accountability and transparency, innovation, diversity and inclusion, collaboration, and integrityPurpose and Responsibilities:The Internship program is to provide graduates with practical hands-on training, learning, and working experience opportunities, while allowing interns to apply their skills and knowledge in a real-world working environment.The program aims to help the successful intern applicant explore career opportunities, develop new skills and competencies, and build professional working relationships that enhances their employability.Position DescriptionThe Finance Intern will support the finance department with general day-to-day tasks and specific documentation responsibilities. The incumbent will focus on organising documents, reviewing documents, scanning and uploading documents, labelling of files, archiving and retrieval of finance documents, as well as supporting in handling basic finance tasks to ensure overall efficiency of financial records in compliance with WCS policies and donor requirements.Main ResponsibilitiesDocument Management & Filing
- Ensure that documents are adequately arranged in the correct convention and in an orderly manner.
- Ensure that all documents are fully reviewed, dated, approved, and stamped.
- Follow up on documentation approvals, where necessary.
- Assist in filing finance documents, both hard and soft copies.
- Maintain an orderly, retrievable, and accessible filing system.
- Track all documents submitted to finance for payments.
Scanning, Uploading, & Document Review
- Scan and upload financial documents with an appropriate naming convention and document numbering.
- Trace all scanned documents to ensure that nothing is missing.
- Assist in organising scaned documnets in the share-drive to aid in easy and timely retrieval.
- Assist in following up with relevant staff to ensure complete transaction documentation.
- Support the finance officer in reviewing and tracking cash and travel advances.
- Verify that all supporting documents are complete before scanning and filing.
Other Responsibilities
- Assist program and operations staff in using correct activity codes and budget lines for transactions.
- Support the finance team during the month-end and year-end closures.
- Assist during auditing process and audit preparation.
- Perform other financial responsibilities as may be assigned by the Finance Officer or Finance Manager.
