Job Title: Aircargo Warehouse Officer
Location: Maiduguri, Borno
Employment Type: Full-time
Job Purpose
- Under the direct supervision of the Project Manager, the Warehouse Officer shall carry out the receive and delivery of cargo to UNHAS air crew as per approved consolidation by locations.
- Ensure proper documents are receive and delivered to UNHAS and supervise cargo at his / her possession, ensure accountability and compliance with INTERSOS, humanitarian and donor requirements.
- The DO will liaise closely with UNHAS team and Airport authorities to clear all cargo and transportation within airport.
Responsibilties
- Maintain track record of flight schedule, lias with airport and UNHAS staff to plan cargo clearance and delivery.
- Review Cargo Movement Requests and approve them in coordination with the UNHAS cargo focal point.
- Work closely with the UNHAS cargo focal point to book cargo using the UNHAS TakeFlite application.
- Regularly track and update stock at the airport cargo bay and ensure the Cargo Drive is kept up to date.
- Work closely with the data officer and cargo handler to ensure cargo arrived airport according to schedule.
- Ensure items are properly organized and are correctly stored, well protected, fully identified and are easy to get go at the airport.
- Prepare the goods for dispatch packaging and labelling according to information provided in the packing preparation document supplied by the Air Cargo Handler.
- Ensure correct documentation of sent good (stock cards, waybills, packing lists, etc) and retuned goods.
- Request good received from partner and share confirmation of receipt with Project Officer.
- Monitor ongoing dispatchment, pipeline information, and other data related to the cargo transportation at airport.
- Provide day to day reports on the progress and movements of cargo shipments (dispatched, returned, etc.)
- Respond to a variety of technical queries/requests for support in close collaboration with data officer and project officer, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
- Assist in management of cargo accounting data quality and integrity.
- Coordinate closely with the Warehouse and PO (Air Cargo Team) to support the operational pipeline analyses, assessments and operational planning.
- Collect and compile data, produce and/or contribute to reports (e.g. financial closure, physical inventory, service provider performance) and ensure information accuracy in corporate systems in support to informed decision-making.
- Provide guidance to air cargo handlers, in order to assist them in completing standard tasks to agreed standards and deadlines.
- Monitor and assess quality, quantity and safety of all the goods at the airport.
- Initiate action for requesting for cargo clearance on all cargo shipments, and follow-up with the concerned authorities to obtain the exemption on timely manner.
- Follow-up with all the concerned authorities and service provides on completing the necessary arrangements prior to the cargo arrival to the airport, including checking and verifying the cargo documents, following up with the clearing agents and cargo handler on cargo status upon arrival at the airport.
- Follow-up with UNHAS clearing agent, airport clearing agent and other agents on a timely arrangement for cargo clearance and dispatches.
- Evaluate the performance of all service providers on ground and provide analytical vision on method to improve the ACCS operation.
- Organise and supervise the cargo at the airport in case of unclear visibility on the cargo and packaging to minimize the damage and un-identification at cargo destination.
- Process documentation for delivery to UNHAS.
- Perform other duties, as required by the supervisor.
Position Requirements
- Minimum of B.Sc / HND in Business Administration, Public Administration, or related field from a recognized higher institution
- Minimum of 2 years’ experience in Logistics, Warehousing, Distributions or Cargo transportation.
- Minimum of 2 year experience with a recognized INGO
- Knowledge of UNHAS services and procedures
- Experience in or ability to learn administration and preparing a large scall of cargo services
- Cultural sensitivity and adaptability
- Understands work from a process point of view and uses measurement and accountability systems effectively.
- Demonstrates openness and transparency
- Knowledge of NGO and Humanitarian industry
- Experience in networking and coordination with NGOs, UN and authorities
- Computer literacy (MS Excel, MS Word)
- Good organizational skills
- Strong communication skills with ability to express ideas and concepts clearly and persuasively with senior members of the humanitarian community as well as with field practitioners.
- Excellent networking skills.
- High degree of negotiation and persuasion skills.
- Ability to work with a reasonable level of comfort in high tension and high security risk situations.
- Ability to maintain performance expectations in diverse cultural contexts, psychologically stressful environments and physical hardships.
- Good Command of written and spoken English and/or Hausa Languages
