Job Title: Document Controller

Job Summary

  • We are seeking a meticulous, highly organized, and detail-oriented Document Controller to join our team at a leading real estate development firm.
  • The ideal candidate will be responsible for managing, tracking, and maintaining all technical documentation and drawings from consultants, contractors, and internal teams across multiple real estate projects.
  • This role is crucial in ensuring that all project documentation is accurate, up-to-date, and easily accessible to stakeholders.

Key Responsibilities

Drawing Tracking:

  • Maintain a central register for all design drawings, ensuring proper version control and timely updates from all consultants and design teams.
  • Track and log drawing revisions, submission dates, and approvals.

Consultant & Contractor Coordination:

  • Act as the primary point of contact for receiving documentation from consultants, contractors, and third-party vendors.
  • Ensure timely collection and distribution of documentation and drawing submittals.

Document Management:

  • Receive, register, file, and distribute all incoming and outgoing project documentation, including architectural, structural, MEP, and landscape drawings.
  • Maintain a comprehensive and well-organized document control system (physical and electronic) in accordance with company standards and protocols.

Review & Compliance:

  • Verify document formatting, versioning, and numbering align with project and company standards.
  • Support QA/QC teams by ensuring that only approved documents are used for construction or review.

Filing & Retrieval:

  • Ensure systematic storage and easy retrieval of archived documents.
  • Maintain the confidentiality and integrity of sensitive documentation.

System Management:

  • Use and maintain document control software (e.g., Aconex, Procore, SharePoint, or company-specific platforms).
  • Provide basic support and training to team members on document control procedures and systems.

Reporting:

  • Generate regular reports and summaries on document status, submittals, approvals, and outstanding items.
  • Assist the project manager with document-related queries and audits.

Qualifications & Skills

  • Bachelor’s Degree or diploma in administration, construction management, engineering, or a related field.
  • Minimum of 3 years of experience in a document control role, preferably within the construction or real estate development industry.
  • Knowledge of common document control platforms like Aconex, Procore, or similar is an advantage.
  • Excellent attention to detail and organisational skills.
  • Strong communication skills and the ability to liaise with multiple stakeholders.
  • Ability to work under pressure, manage priorities, and meet deadlines.
  • Discretion and professionalism in handling confidential information.
  • Strong understanding of construction documentation, drawings, and document versioning.
  • Proficient in MS Office Suite (Excel, Word, Outlook), and document management systems (DMS).
