We are recruiting to fill the position below:

 

Job Title: Executive Assistant & Program Associate

Location: Lagos

Role

  • Executive Assistant & Program Associate will provide high‑reliability executive support to the President/Board and drive core program operations.
  • Keep leadership organized, members engaged, trainings on schedule, and the society’s public voice coherent across channels.

Accountabilities / Responsibilities

Executive Support & Governance:

  • Own calendars: schedule meetings, confirm attendance, prepare agendas, circulate pre‑reads, track follow‑ups.
  • Record accurate minutes for Board/committee/AGM meetings within 48 hours; log decisions, owners, deadlines.
  • Draft and format monthly/quarterly/annual reports; maintain a clean governance document archive.
  • Support compliance tasks for an Incorporated Trustees entity under CAMA 2020; coordinate travel and vendors.

Communications & Social Media:

  • Manage social channels (LinkedIn, X/Twitter, Instagram, Facebook): calendar, copy, artwork (Canva), posting, moderation.
  • Draft website/newsletter content and event pages; ensure brand consistency and accessibility.
  • Monitor analytics; grow engagement and event conversions (not vanity metrics).

Data, Tools & Safeguarding:

  • Maintain organized, searchable files (Drive/SharePoint) with clear naming and version control.
  • Protect personal data in line with Nigeria’s NDPR; uphold confidentiality and conflict‑of‑interest standards.
  • Maintain simple dashboards for leadership (membership, programs, dues vs. costs).

Membership & Community:

  • Maintain the master membership roster (CRM/Sheets): status, dues, contacts, specialties, chapters.
  • Run onboarding/offboarding, verify records, send renewal notices, and track dues/receipts.
  • Publish a concise monthly member update andmewsletter (events, training, opportunities, policy).
  • Design onboarding process for new members including ading to whatsapp group.

Programs, Events & Training

  • Plan and coordinate ASEMHP trainings, webinars, and conferences (timelines, budgets, venues, vendors).
  • Manage registrations, certificates, CPD documentation, faculty liaison, and post‑event evaluations.
  • Track KPIs: attendance, satisfaction, CPD credits issued, costs, and follow‑up actions.

Performance Indicators

  • Agendas/minutes on time; >90% action items tracked to closure.
  • >95% membership roster accuracy; on‑time renewal campaigns; growth in active dues‑paying members.
  • ≥90% of trainings delivered on schedule and within budget; ≥80% participant satisfaction.
  • Month‑over‑month growth in engagement and event conversion; zero preventable compliance misses.

Requirements

  • Bachelor’s Degree (health administration, public health, social sciences, communications, or related).
  • Strong with Google Workspace/Microsoft 365, Zoom/Meet, Canva, and basic CRM (Airtable/Zoho/HubSpot).
  • Project discipline: timelines, vendor management, on‑time delivery, early risk escalation.
  • Integrity & discretion with sensitive member/governance information; ability to travel within Nigeria.
  • 2–4 years’ experience in executive assistance, association/non‑profit coordination, health programs, or events.
  • Excellent written and verbal English; crisp minutes and professional correspondence; local language a plus.
  • Can be in NYSC but must be post-camp.

Working Schedule:

  • 9:00 a.m. – 5:00 p.m., Monday–Friday.
  • Hybrid role with two (3) in‑person office days required weekly (subject to change as organizational needs evolve);
  • flexibility for occasional evenings/weekends during trainings or conferences.

Compensation and Benefits

  • N120,000 gross monthly salary (111,600 Naira net monthly).
  • Health insurance after confirmation at 6 months.
  • You will be provided a work laptop and access to the internet on office premises.
  • The laptop is not for personal use.
  • A work telephone with a credit allowance will be provided.
  • This phone is not for personal use. · 4 weeks of annual leave of which no more than 2 weeks taken at once.
  • Health insurance after 6 months when the probation period is over.
