About the Role
- We are seeking a highly organized and experienced Executive Assistant to provide comprehensive administrative and executive support to the Managing Director of an Exploration and production company
- The ideal candidate will be a proactive individual with strong interpersonal skills and a meticulous attention to detail.
- This role will involve a wide range of responsibilities, from managing the MD’s schedule to coordinating complex projects.
Key Duties and Responsibilities
- Manage the MD’s calendar, schedule appointments, and coordinate meetings with both internal and external stakeholders.
- Serve as the primary point of contact between the MD and internal teams, vendors, and business partners, ensuring clear and timely communication.
- Receive, screen, direct all inbound telephone calls, e-mails, and visitors for the MD’s office
- Troubleshoot and/or escalate office administration issues
- Review, evaluate, and distribute priority correspondence for theexecutive team
- Facilitate communication with department managers, business unit leaders, and project managers
- Take and transcribe notes
- Present a positive and professional image of the executive office to all visitors, suppliers, and others.
- Provide administrative and office management support to theManaging Director .
- Maintain travel schedules and book travel arrangements
- Coordinate travel arrangements, including booking flights, accommodations, and visas.
- Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, andspelling and make edits as necessary.
- Organize and prepare materials for meetings, record minutes, and ensure timely follow-up on action items and deliverables.
- Prepare and review presentations – internal and external
- Prepare draft reports, andbackground documentation, and conduct required research activities
- Other duties shall be assigned as required by the MD.
Key Requirement
Education and Work Experience:
- Bachelor’s Degree in any discipline
- 5 to 8 years’ experience in an administrative role.
Skills and Competencies:
- Calendar management, scheduling, and prioritizing executive tasks
- Efficiently organizing files, records, and data for easy retrieval
- Coordinating travel, meetings, and logistics
- Meticulous in reviewing documents, ensuring accuracy in scheduling, reports, and presentations

- Effectively managing time for both themselves and the executive
- Excellent verbal and written communication, including composing emails, reports, and memos
