Job Type: Full-time and OnsiteJob Summary
- We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative support to the GMD Sujimoto Group.
- The ideal candidate must have experience in handling a wide range of executive support tasks, working independently, and managing competing priorities with a high level of professionalism and discretion.
Responsibilities
- Manage the GMD’s calendar, schedule meetings, and coordinate appointments, ensuring effective time management.
- Prepare reports, presentations, and correspondence on behalf of the GMD.
- Organize and attend executive-level meetings, taking accurate minutes and following up on action items.
- Manage confidential documents and sensitive information with absolute discretion.
- Support in project management, research, and strategic planning activities.
- Serve as the primary point of contact between the GMD and internal/external stakeholders.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Liaise with department heads and other senior executives to facilitate company-wide communications and initiatives.
- Monitor deadlines and ensure the GMD is well-prepared for all engagements and deliverables.
- Assist in personal tasks when necessary, maintaining clear boundaries and confidentiality.
Requirements
- Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably in the real estate or corporate sector.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools.
- Ability to work under pressure and meet tight deadlines.
- High level of integrity, professionalism, and discretion in handling confidential information.
- Adaptable, proactive, and able to anticipate the needs of a busy executive.
- Familiarity with the real estate industry is a strong advantage.
