- The Personal Assistant (PA) will provide high-level administrative and operational support to the Managing Director (MD).
- This role requires strong organizational skills, discretion, and the ability to manage multiple responsibilities efficiently.
- The PA will act as a key liaison between the MD and internal/external stakeholders, ensuring seamless communication and coordination of activities.
Key Responsibilities
- Serve as the primary point of contact between the MD and internal/external clients.
- Screen and direct phone calls, emails, and correspondence, responding where necessary.
- Manage the MD’s diary, schedule meetings, and coordinate appointments.
- Organize and plan meetings, including preparing agendas and taking minutes.
- Arrange travel, accommodation, and other logistics as required.
- Prepare reports, presentations, and briefs, including operational and financial summaries for board meetings.
- Maintain office supplies and ensure an efficient office filing system.
- Monitor and report on the MD’s email, responding on their behalf when required.
- Draft communications and official correspondence on behalf of the MD/Project Manager.
- Conduct research and prepare summaries or reports as needed by the MD.
- Coordinate with the Estate Manager and Field Supervisors to compile and summarize daily productivity reports for review by the MD, Project Manager (PM), and HR.
- Prepare and submit the plantation’s monthly report by the 5th of the following month.
- Act as the company secretary for the Estate Manager, Project Manager, HR Manager, and Finance Manager.
- Handle various ad hoc tasks and special projects as assigned.
Qualifications & Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong knowledge of office management systems and procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills in English.
- Exceptional organizational and time management skills.
- Ability to multitask, prioritize workloads, and meet deadlines.
- Familiarity with modern office tools, gadgets, and applications.
- High level of discretion, confidentiality, and professionalism.
- High school diploma required; additional certifications in administrative or PA-related fields are an advantage.
