- We are seeking a highly organized and efficient Secretary to provide crucial administrative support within our dynamic fashion company.
- This role requires a proactive and detail-oriented individual with excellent communication and interpersonal skills to ensure the smooth and efficient day-to-day operations of the company.
Key Responsibilities
- Provide comprehensive secretarial and administrative support to the company and its various departments.
- Manage the schedules and calendars of key personnel, coordinating meetings and appointments.
- Prepare, format, and proofread correspondence, reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint).
- Handle all incoming and outgoing communication, including phone calls, emails, and mail, in a professional and timely manner.
- Manage office supplies and ensure the smooth functioning of office equipment.
- Liaise effectively with internal departments, including design, production, marketing, sales, and finance.
- Assist in the coordination of company events and meetings.
- Maintain organized filing systems, both electronic and physical, ensuring easy access to information.
- Assist in the preparation of meeting agendas, take accurate minutes, and follow up on action items.
- Coordinate travel arrangements and process expense reports.
- Maintain confidential information with the utmost discretion.
- Act as a point of contact for internal and external stakeholders.
- Assist with basic bookkeeping and record-keeping tasks.
- Perform other administrative duties as required to support the overall operations of the fashion company.
Qualifications
- A Bachelor’s degree in Secretarial Studies, Business Administration, or a related field.
- Minimum of 2 years of proven experience as a Secretary or Administrative Assistant, preferably within the fashion industry or a similar fast-paced environment.
- Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email management.
- Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines effectively.
- Exceptional 1 communication skills, both written and verbal, with a professional and courteous manner.
- High level of accuracy and attention to detail.
- Ability to work independently and as a proactive member of a team.
- Strong interpersonal skills and the ability to build positive working relationships.
- Ability to handle confidential information with discretion and integrity.
- A proactive and resourceful approach to problem-solving.
- A genuine interest in the fashion industry is a plus.
